1. ASSIGNMENT OF DATES


All prospective Licensees must contact the General Manager to determine availability of dates. Bridge View Center will tentatively reserve requested dates after completion of the Initial Information Sheet and acceptance by Bridge View Center General Manager.

The License Application must include the following information:

  • Name of Licensee
  • Company/Organization
  • Type of Activity Proposed
  • Name of Artist (If Applicable)
  • Expected Attendance
  • Address and Phone Number
  • The individual or organization who will be financially responsible for all costs

A date is not considered firm until a signed License Agreement and required deposit is returned to the General Manager.

The General Manager may deny the use of any or all of the facility to any individual, group, organization, or event that in his/her professional judgment would result in an unfair degree of competition or is not in the best interest of Bridge View Center.

If another Licensee should request the dates in question or a portion thereof, the Licensee will be required to execute a License Agreement and to submit the required deposit within either two business days after receipt or within a time as specified by the General Manager.

If the License Agreement and deposit are not received as required, the General Manager will release the dates without notice.

2. DEPOSITS

An initial deposit of 50% of the base rent is required upon the signing of the License Agreement. The balance is due thirty (30) days prior to the event. For events that are assigned dates over one year in advance, a 25% deposit is due upon the signing of the contract. An additional 25% is due six (6) months prior to the event and the balance is due thirty (30) days prior.
IN THE EVENT THAT THE PROSPECTIVE LICENSEE CANCELS THE EVENT, DEPOSITS FOR DATES ARE NOT REFUNDABLE.

The General Manager reserves the right to require an additional deposit to cover all estimated expenses, including but not limited to rent, set-up, staffing, damages, utility charges, advertising, electrical services, and damage escrow.

  • A building inspection will be conducted within 24-hours after the event has vacated the building to determine the extent of damage, if any.
  • The Licensee will be charged at the time of settlement for any damages, and it will be the responsibility of the Licensee to recover such charges from the Licensee’s insurance carrier.
  • To submit an advance damage deposit in no way relieves the Licensee of the obligation to provide a Certificate of Insurance for coverage as outlined in the License Agreement and in Section 4, nor does it limit the right of the Bridge View Center to charge the Licensee for the full amount of damages incurred even if the amount exceeds the advance damage deposit.

3. STATEMENT AND PAYMENT POLICY

All charges due to Bridge View Center are payable on demand. Any balances over thirty (30) days will be charged a 1.5% monthly finance charge until payment is received.

Bridge View Center will pay net proceeds due from ticket receipts less rent and other charges in a timely manner after the conclusion of the event.

4. LIABILITY INSURANCE

The Certificate of Insurance must provide general liability coverage for the following items:

  1. “Comprehensive”,
  2. “Premises-Operations”, and
  3. “Contractual”.
  • The limits of this insurance should not be less than $1,000,000/1,000,000/1,000,000.
  • High risk events must carry insurance in the amount of $5,000,000/5,000,000/5,000,000, and coverage must include riot insurance.
  • The Centerplate General Manager reserves the right to adjust the limits upward depending on the risk level of the event.

Ten (10) days prior to the event, the Licensee must supply the General Manager of Bridge View Center with a Certificate of Insurance certifying the following parties as additional insured:

  • City of Ottumwa, Iowa
  • Bridge View Center, Inc
  • Centerplate

In addition to the above-required coverage, if a Licensee or exhibitor distributes or sells any items at an event, the Licensee must also provide liability coverage for “Products/Completed Operations Hazard”.

If a Licensee uses an outside contractor (i.e. decorator), “independent contracts” liability coverage must be provided.

Licensees who fail to provide the required coverage will not be allowed in the building until all such insurance requirements are met.

LICENSEES SHOULD REFER TO THE USE LICENSE AGREEMENT FOR SPECIFIC REQUIREMENTS OF INSURANCE COVERAGE.

 

EVENT PLANNING

5. SERVICES PROVIDED FOR BASIC RENTAL

Bridge View Center shall provide the following to the Licensee at no additional cost:

  • Office space as available for use of show management during move-in days, show days, and move-out days, and
  • Non-exclusive use of lobbies, vestibules, and hallways contiguous with the licensed premises.

Not included in the basic rental are charges for labor necessary to accomplish the event set-up requirements for such items as staging, platforms, supplemental lighting and sound, audio/visual, tables, chairs, etc. Charges for these set-up services will be in accordance with the prevailing labor and equipment rates set by Bridge View Center.

The Licensee is responsible for obtaining animal permits, ride permits, pyrotechnics permits, and the like as they apply.

Licensee should refer to use license agreement for exact provisions of basic rental.

Charges for equipment staffing and equipment are the responsibility of the licensee and shall be charged at the prevailing rates.

6. FLOOR PLANS

All events with exhibit booths are required to submit two (2) copies of the proposed floor plan to the Event Manager at least thirty (30) days prior to the event. Bridge View Center event planning staff may assist with the creation of the floor plan.

7. PHYSICAL ARRANGEMENTS

The licensee must provide bridge view center with specific details of all set-up requirements at least seven days in advance of the event so that the set-up may be accomplished as efficiently as possible.

Bridge view center will contact licensees prior to move-in for the purpose of setting a production meeting to review in detail the various set-up requirements and other necessary arrangements and services for the event.

The Licensee is urged to provide this information as far in advance as possible in order to help insure maximum efficiency and economy.

8. DECORATIONS

Decorations are not permitted on ceilings, painted surfaces, columns, fabric, portable folding partitions, decorative wall, or fire sprinklers. All decorative materials must be flameproof in accordance with the City of Ottumwa Fire Department regulations.

Upon request, Bridge View Center personnel will install large decorations, banners, etc., for which the Licensee will be charged in accordance with the prevailing rates.

NO HELIUM BALLOONS OR ADHESIVE BACKED DECALS, SIGNS, ETC., ARE PERMITTED TO BE GIVEN OUT ON THE PREMISES.

Upon approval of the General Manager, helium balloons may be used by exhibitors. However, the Licensee will be charged at the prevailing labor rate for any and all balloon clean up deemed necessary.

9. TELEPHONE SERVICES

Telephone service for show offices are provided by Bridge View Center for $100 per line per show payable by the Licensee. Licensee is responsible for long distance or any additional charges that may apply.

10. AIR CONDITIONING & LIGHTING POLICY

Bridge View Center has the following energy saving guidelines in effect:

  1. Minimum lighting (work lights) will be utilized during the move-in and move-out periods.
  2. If there is no other activity in the building, minimum lighting following prevailing safety codes will be in effect in all common areas during move-in and move-out.
  3. On show days, lights and power will be cut to a minimum level within a reasonable time after the event closes unless special arrangements are made by show management.
  4. Minimum levels of heat/AC will be maintained during move-in and move-out periods.

A waiver from these guidelines must be obtained from the General Manager. If such a waiver is granted, additional charges for air conditioning, lights, and fans during non-show hours may be imposed.

11. TICKET OFFICE

Bridge View Center has a fully computerized Ticket Office through Ticketmaster.

All tickets for admission to any event(s) scheduled for presentation in Bridge View Center must be sold or distributed through Bridge View Center’s Ticket Office unless otherwise approved by the General Manager.

Hard tickets must be received by the ticket office. The ticket office will fully audit, control and reconcile all hard tickets and ticket receipts from their sale.

Tickets will not be put on sale until after receipt of the signed contract, deposit, and certificate of insurance.

12. PROGRAMS, NOVELTIES, ETC.

All programs, novelties, t-shirts, souvenirs, etc., must be sold by Bridge View Center or its authorized representative.

All such merchandise must be consigned to Bridge View Center or its authorized representative before the event. Bridge View Center or its authorized representative will take a beginning and ending inventory, handle the financial settlement, and pay the Licensee or the Licensee’s authorized representative.

The sale of these items is subject to commission specified in the license agreement. This fee will be determined after deducting the sales tax.

 

OPERATIONS

13. HOUSE STAFFING SERVICES

Unless otherwise agreed to, Bridge View Center provides at Licensee’s cost the services of all staff required to stage an event. This personnel includes full Ticket Office services, ticket sellers, ushers, ticket-takers, stagehands, security, technical lighting, sound and audio/visual personnel, custodians, forklift operators, etc.

Licensees are instructed not to make any other staffing arrangements for their events at Bridge View Center without first obtaining the written permission of the General Manager.

All security staffing requirements are subject to the approval of the General Manager and will be set in a manner which is fair and reasonable to the Licensee but which also protects the interest of Bridge View Center and the City of Ottumwa.

Licensee will provide all badges for all personnel, exhibitors, service contractors, and subcontractors; otherwise, additional security will be added at the Licensee’s expense.

Bridge View Center may provide security for the Center. These precautions, however, do not constitute a guarantee on the security of personal property of the Licensee, the Licensee’s exhibitors, or other parties.

The Licensee should secure valuable items.

14. FREIGHT DELIVERIES AND CRATE STORAGE

Bridge View Center will not accept advance freight shipments for exhibitors or Licensees, unless otherwise agreed to in writing prior to the event.

 

FOOD & BEVERAGE

15. FOOD AND BEVERAGE POLICY

FOOD AND BEVERAGE ITEMS MAY NOT BE SOLD, GIVEN AWAY OR DISTRIBUTED BY THE LICENSEE OR BY EXHIBITORS OR ATTENDEES OR THEIR REPRESENTATIVES AT ANY TIME WITHOUT WRITTEN APPROVAL OF BRIDGE VIEW CENTER GENERAL MANAGER.

Bridge View Center Food & Beverage Department has exclusive rights for all food and beverage services provided on the premises.

The General Manager reserves the right to utilize reasonable available space for the sale of concession items on the floor of the facility. Food and beverages may not be brought onto the premises of Bridge View Center by exhibitors without the expressed written permission of the General Manager.

IN ACCORDANCE WITH THE RULES AND REGULATIONS OF THE STATE OF IOWA, IT IS AGAINST THE LAW FOR A LICENSEE OR PATRON TO BRING ALCOHOLIC BEVERAGES INTO THE CENTER FOR ANY PURPOSE.

All arrangements for alcoholic beverages must be made through Bridge View Center. Under no circumstance will alcoholic beverages purchased or distributed by a Licensee, exhibitor, or patron be permitted to be taken off the premises of Bridge View Center.

 

MARKETING & SALES

16. BRIDGE VIEW CENTER MARKETING

LICENSEES ARE REQUIRED TO SUBMIT ALL ADVERTISING COPY TO THE DIRECTOR OF MARKETING PRIOR TO RELEASE TO ENSURE ACCURACY.

Licensees will be featured on the Bridge View Center Website and on the Message Center. Arrangements must be made through the Director of Marketing.

17. USE OF BRIDGE VIEW CENTER LOGO

Bridge View Center logo, or an approved facility-related logo, must be included in each and every newspaper, magazine, and/or television ad and all printed materials such as brochures and posters.

Bridge View Center will supply the necessary camera-ready artwork upon request.
